Punch List Template Excel: Why It Loses the Photos

A punch list template in Excel can track line items fine, but it cannot hold a photo with a circled defect tied to a room and a trade, which is the part that actually settles disputes.

What a punch list template in Excel actually gives you

Search for a punch list template in Excel and you get a grid: room, item, trade, status, date. That structure works for typing up a list after the fact. It does not work for capturing the list while you are standing in the room looking at the defect.

The spreadsheet is a place to record a decision someone already made. It is not a tool for making the record in the first place. That gap is where most punch lists fall apart.

Where the spreadsheet loses the photo

What gets lost without the photo attached

The text description does the work until someone disagrees about scope, who caused the damage, or whether the fix was ever done. At that point the photo is the only thing that resolves it quickly.

  • The condition before a correction, so there is something to compare the after shot against
  • Whether a defect was already there before a trade started their portion of the work
  • What the item looked like at the time it was logged, not a blurry memory of it two weeks later at the walkthrough meeting

A spreadsheet can note the date a photo was taken. It cannot show you the photo was taken in the right place, by the right person, pointed at the right crack.
